1.2 Academic & Conference Information
We collect information relevant to conference participation such as preferred committee choices, prior MUN experience, academic achievements, essay submissions, and recommendation letters where applicable.
1.3 Payment Information
Registration fees are processed through Cashfree Payments Private Limited, an RBI Authorised Payment Aggregator (Certificate of Authorisation No. 266/2025). Registrations are facilitated through Tikxz, a product of edXtra Technologies. We do not store complete payment card details on our servers; only transaction references and payment confirmations are retained for record-keeping. Your payment information is shared with Cashfree Payments to complete your transaction. Other registration details (name, contact, academic information) are shared with NYMUN and Tikxz for conference administration purposes.
1.4 Usage & Technical Data
When you visit our website, we automatically collect certain technical information, including your IP address, browser type and version, operating system, pages visited, time spent on pages, and referring URLs. This data is used solely for website analytics and improvement purposes.
1.5 Communications
We retain records of correspondence you send to us, including emails, messages submitted through contact forms, and inquiries, in order to respond effectively and maintain accurate records.
How We Use Your Information
2.1 Conference Administration
Personal information is used to process delegate registrations, assign committees and portfolio allocations, issue confirmation letters, and facilitate logistics such as accommodation coordination, meal arrangements, and accreditation.
2.2 Communication
We use your contact details to send important updates about the conference schedule, pre-conference preparatory materials, study guides, and operational announcements. You may receive newsletters or promotional communications from us; you may opt out at any time.
2.3 Certificates & Awards
Name and institutional affiliation are used to issue participation certificates, award citations, and other official NYMUN 26 documentation.
2.4 Photography & Media
Photographs and videos captured during NYMUN 26 events may be used for the following purposes: display on our website; sharing over public links with delegates, Organising Committee members, and associated parties; publication on social media platforms; and use in future promotional materials. By attending the conference, you provide consent for such usage. For minor participants, the parent or legal guardian provides this consent by completing registration and making payment. Any participant (or parent/guardian of a minor) who objects must notify us in writing at info@nymun.org prior to the event.

3.2 Service Providers
We share your information with trusted third-party service providers who assist in operating our website, processing payments, or delivering conference services. Specifically, your payment information is shared with Cashfree Payments Private Limited (RBI Authorised Payment Aggregator, Certificate of Authorisation No. 266/2025) to process transactions. Registration and profile details are shared with Tikxz, a product of edXtra Technologies, which provides our registration platform. These parties are contractually bound to maintain confidentiality and use the data solely for the purposes specified by NYMUN 26.
3.3 Institutional Disclosure
With your consent, we may share your participation records with your school or college, including faculty advisors, for academic recognition purposes.
3.4 Partner Organisations
Aggregate, non-identifiable data may be shared with NYMUN partner organisations, sponsors, or media partners for analytical and promotional purposes.
