Terms & Conditions
These Terms and Conditions govern participation in NYMUN 26 and set out the rights, responsibilities, and obligations of all participants and the Organising Committee.
Please read these Terms and Conditions carefully before registering for or participating in NYMUN 26. These terms constitute a legally binding agreement between you (the participant) and the NYMUN 26 Organising Committee. By registering for or attending NYMUN 26, you unconditionally accept these Terms and Conditions.
Definitions & Interpretation
1.1 "NYMUN 26" / "The Organisers"
Refers to the Nashik Youth Model United Nations 2026 Organising Committee, a student-led organisation based in Nashik, Maharashtra, India, responsible for planning and conducting the NYMUN 26 conference.
1.2 "Delegate" / "Participant"
Refers to any individual who has registered or is participating in NYMUN 26 in any capacity, including as a delegate, chair, press corps member, guest, observer, or organising committee member.
1.3 "Conference"
Refers to the NYMUN 26 event, encompassing all committee sessions, plenaries, social events, and related activities organised under the NYMUN 26 banner.
1.4 "Registration"
Refers to the formal process of enrolling for participation in NYMUN 26, including submission of the online application form and payment of applicable fees.
1.5 "Website"
Refers to the official NYMUN 26 website accessible at nymun.com and all associated sub-pages and digital properties.
Acceptance of Terms
2.1 Binding Agreement
By accessing the NYMUN 26 website, completing the registration process, or attending the conference, you agree to be legally bound by these Terms and Conditions. If you do not agree to these terms, you should not register or participate.
2.2 Parental Consent for Minor Participants
NYMUN 26 is open to participants from Grade 8 and above. Participants below the age of 18 are considered minors. By completing payment and registration for a minor participant, the parent or legal guardian confirms that they have read and understood these Terms and Conditions, and expressly provide consent for their ward to attend the conference, including all committee sessions and social events where applicable. This payment-based action constitutes formal consent on behalf of the minor.
2.3 Institutional Responsibility
Where participants register under the name of a school or educational institution, the accompanying faculty advisor or authorised institutional representative jointly agrees to these Terms and Conditions and assumes responsibility for the conduct of delegates under their supervision.
Registration & Eligibility
3.1 Eligibility
NYMUN 26 is open to students currently enrolled in any school (Grade 8 and above) or undergraduate college programme. The Organisers reserve the right to verify eligibility and reject or cancel registrations that do not meet specified criteria.
3.2 Accuracy of Information
Participants are required to provide accurate, complete, and current information during registration. Misrepresentation of identity, institutional affiliation, academic level, or other relevant information may result in immediate disqualification without refund.
3.3 Committee & Portfolio Allocation
Committee and portfolio (country or character) assignments are made at the sole discretion of the Organisers and the Academic Committee. While preferences stated during registration are considered, NYMUN 26 does not guarantee allocation of a specific committee or portfolio.
3.4 Registration Confirmation
A registration is considered confirmed only upon receipt of a written confirmation email from NYMUN 26 following successful payment. The Organisers reserve the right to reject or waitlist applications at any stage prior to confirmation.
Fees & Payment
4.1 Registration Fees
The applicable registration fee is as published on the NYMUN 26 website or communicated via official channels at the time of registration. Fees are subject to change during different registration phases (e.g., early-bird, standard, late registration).
4.2 Payment Obligation
Full payment of the registration fee is required to secure a place at the conference. Partial payments do not constitute confirmed registrations unless explicitly agreed to in writing by the Organisers.
4.3 Payment Platform
Payments are processed via Cashfree Payments Private Limited, an RBI Authorised Payment Aggregator (Certificate of Authorisation No. 266/2025). Registrations are facilitated through Tikxz, a product of edXtra Technologies. By making payment, you acknowledge and agree to the processing of your payment information by Cashfree, and the handling of your registration details by NYMUN and Tikxz.
4.4 Payment Verification
Participants must submit proof of payment as required during the registration process. NYMUN 26 is not responsible for lost or unverified payments made to unauthorised accounts.
4.5 Fee Inclusions
The registration fee covers delegate accreditation, access to all committee sessions and plenary meetings, the delegate kit (including study guides and conference materials), participation certificates, and access to conference networking and social events as specified in the official conference programme.
4.6 Fee Exclusions
The registration fee does not cover travel, accommodation, meals outside designated conference provisions, personal expenses, or optional excursions. These costs remain the sole responsibility of the participant.
Code of Conduct
5.1 Educational Nature & Professionalism
NYMUN 26 is a completely educational event. All participants are expected to maintain professionalism and decorum throughout the conference. This includes committee sessions, social events, common areas, and interactions on digital communication platforms associated with NYMUN 26.
5.2 Parliamentary Procedure
During committee sessions, delegates must adhere to the Rules of Procedure as published in the NYMUN 26 study guides and as directed by the Committee Chairs. The decision of the Chairs on procedural matters is final.
5.3 Academic Integrity
Plagiarism, fabrication of credentials, or submission of position papers that are not the original work of the delegate is strictly prohibited and may result in disqualification. The use of AI-generated content without appropriate disclosure is similarly prohibited where specified by individual committees.
5.4 Prohibited Conduct
The following are strictly prohibited at all NYMUN 26 events and venues: use of offensive, discriminatory, or hateful language; harassment or bullying of any participant or staff member; possession or consumption of alcohol, intoxicants, drugs, or any abuse-related products on conference premises; damage to conference venue or partner property; and any conduct that disrupts the orderly functioning of the conference. NYMUN 26 is a completely educational event and takes these prohibitions seriously. Any participant found in violation may be immediately debared without any refund, and may be handed over to the local police authorities at the discretion of the Organising Committee.
5.5 Venue Property
Participants must not damage any property belonging to the conference venue or partner organisations. In the event that a participant causes damage to venue property, the participant (or their parent/guardian in the case of a minor) will be liable to pay a fine determined by the venue and/or Organising Committee to cover the cost of repair or replacement.
5.6 Dress Code
Western formal or Indian formal attire is mandatory for all committee sessions and official conference events unless otherwise specified. The Organisers reserve the right to refuse entry to sessions for dress code violations.
5.7 Digital Conduct
Participants must not make unauthorised recordings of committee sessions or share confidential conference materials. Respectful conduct is also required in all NYMUN 26-associated digital groups and communication platforms.
Disciplinary Removal & Misconduct
6.1 Authority of the Secretariat & Organising Committee
The Secretary-General, the NYMUN 26 Secretariat, and the Organising Committee hold complete and final authority on all disciplinary matters. They reserve the right to disqualify any delegate, guest, or Executive Board (EB) member at any time without the obligation to provide a reason. Their decisions are final and binding.
6.2 Sanctions
Violations of the Code of Conduct may result in a range of sanctions including verbal warnings, written warnings, suspension from committee sessions, or permanent removal from the conference without refund. Any participant found engaged in offensive behaviour or conduct unbecoming of a NYMUN participant may be debared immediately. Serious violations may be reported to the participant's institution and/or to the local police authorities.
6.3 Dais Ruling
Committee Chairs ("dais") are empowered to rule delegates out of order, temporarily suspend speaking rights, or escalate matters to the Secretariat. Delegates must comply with dais rulings without disruption.
6.4 Removal Without Refund
Participants removed from the conference due to violations of the Code of Conduct — including but not limited to possession or consumption of alcohol, intoxicants, drugs or abuse products, offensive behaviour, property damage, or any other prohibited conduct — are not entitled to any refund of registration fees, regardless of the stage at which removal occurs.
6.5 Fraudulent Registration
Registrations found to involve fraud, misrepresentation, or submission of false credentials will be cancelled immediately. No refund will be issued in such cases, and NYMUN 26 reserves the right to take further legal or institutional action.
Intellectual Property
7.1 NYMUN Materials
All study guides, background guides, position paper formats, conference branding, logos, and website content produced by or on behalf of NYMUN 26 are the intellectual property of the NYMUN 26 Organising Committee. Reproduction or redistribution without prior written consent is prohibited.
7.2 Delegate Submissions
By submitting position papers, draft resolutions, or other written work to NYMUN 26, delegates grant the Organisers a non-exclusive, royalty-free licence to use, publish, and distribute such materials for educational and promotional purposes.
7.3 Photography & Media Consent
Photographs, videos, and audio recordings taken at NYMUN 26 events by the official media team remain the property of the NYMUN 26 Organising Committee. By attending the conference, participants grant permission for their image and likeness to be used across the following: the NYMUN website; public links shared with delegates, Organising Committee members, and associated parties; social media platforms; and future promotional materials. In the case of minor participants, the parent or legal guardian provides this consent by completing registration and making payment. Any participant (or parent/guardian of a minor) who objects must notify the Organisers in writing at info@nymun.org prior to the conference.
Liability & Disclaimer
8.1 Limitation of Liability
NYMUN 26 and its Organising Committee members, advisors, and volunteers shall not be liable for any direct, indirect, incidental, or consequential damages arising from participation in the conference, including personal injury, loss of property, travel disruptions, or accommodation issues.
8.2 Force Majeure
NYMUN 26 shall not be liable for failure to fulfil its obligations due to circumstances beyond its reasonable control, including acts of God, natural disasters, civil disturbances, public health emergencies, government orders, or venue unavailability. In such events, NYMUN 26 may reschedule, reformat (e.g., shift to virtual), or cancel the conference.
8.3 Personal Safety
Participants are responsible for their own safety and conduct. NYMUN 26 is not liable for incidents that occur outside of the officially designated conference venue or scheduled programme activities.
8.4 Outstation Participants
Participants travelling from outside Nashik are solely responsible for arranging their own travel and accommodation. NYMUN 26 may provide guidance or recommendations but does not assume liability for any travel or accommodation arrangements.
Cancellation or Modification by the Organisers
9.1 Right to Cancel or Modify
NYMUN 26 reserves the right to cancel, postpone, or modify the conference programme, schedule, venue, or format at any time. In the event of cancellation, participants will be notified through official communication channels. Such modifications do not entitle participants to refunds.
9.2 Refunds upon Cancellation
In the event of a full conference cancellation by the Organisers (not attributable to participant conduct), refunds will be processed in accordance with the Refund Policy published on the website.
9.3 Format Change
If the conference is shifted from an in-person format to a virtual/online format due to circumstances beyond the Organisers' control (including public health emergencies, natural disasters, or government directives), no refunds will be issued. Participants may continue with their registration at no additional cost.
9.4 Force Majeure
NYMUN 26 shall not be obligated to provide refunds where the conference is cancelled, postponed, or modified due to force majeure events, including but not limited to acts of God, natural disasters, civil unrest, pandemics, epidemics, government-imposed restrictions, or venue destruction.
Governing Law & Dispute Resolution
10.1 Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of India. The courts of Nashik, Maharashtra shall have exclusive jurisdiction over any disputes arising from these terms.
10.2 Dispute Resolution
In the event of any dispute, the parties shall first attempt to resolve the matter amicably through good-faith negotiation. If unresolved within 30 days, the dispute shall be referred to arbitration under applicable Indian arbitration law.
Amendments
11.1 Right to Amend
NYMUN 26 reserves the right to amend these Terms and Conditions at any time. Updated terms will be published on the official website and, where material changes are made, communicated to registered participants via email. Continued participation after notification of changes constitutes acceptance of the revised terms.
